ROLE SUMMARY/PURPOSE:

This role is defined as an individual contributor with experience and interest level inclined towards events, employee engagement and experiences.  

KEY RESPONSIBILITIES:

  • Review and oversee the development of event agendas with internal and external interaction of speakers and panelist, entertainment and venue research, audio visual requirement, briefing memos, create production materials such as invitation, name tags, etc. 

  • Dealing with assigned and approved internal vendor list 

  • Pre, Event day and post event analysis 

  • Adhere to internal policy and procedure with regards to reporting activities progress update to reporting manager at all times, Ensuring proper documentation or reporting 

  • Deliver high quality, consistent and meaningful executive reporting and analytics to identify trends and themes to support business decision

  • Drive Innovation efforts across the organization, ensuring stakeholders are onboard with the requirements and support delivery 

  • Manage all aspects of event planning meeting strict deadlines and budget demands Stay current, and often ahead of the curve, on event planning, design, and production trends, proactively identifying and solving operational challenges.

  • Should possess strong negotiation skills to improve process ideation and driving concept. 

  • Experience of coordinating with multiple internal and external stakeholders like facilities, security, legal, compliance, sourcing, Internal Systems and FP&A.

  • Task master with strong project management skills. Establish standard procedures and train staff to execute them. Comply with legal, health and safety regulations always.

  • Ability to work unsupervised, timeline driven with zero compromise of employee experience and designated deliverables. 

  • Confident individual able to always demonstrate utmost and highest level of discretion, discipline and professionalism.

  • A strong team player who is committed and enthusiastic in approach and has flexible attitude towards working hours given the short timelines associated with projects.

  • Ability to priorities workload with Excellent analytical, verbal and written communication skills.

REQUIRED SKILLS/KNOWLEDGE:

  • Excellent project management and organisational skills, attention to detail with logical through process. Attention to detail with logical thought process. 

  • An ambassador to internal stakeholder, ability to forge strong relationship, interact, influence and communicate effectively with all levels of the organization and across line of business. 

  • Coordinate with internal engagement and affinity groups to plan and program manage weekly, monthly, annual or any project-based events.

  • End to end planning of any designated events as per process requirements Plan and facilitate logistics for all events, including contract negotiations (operational), guest lists, venue preparation, presentation materials, security, catering, entertainment, transportation, equipment, decor, and branding materials.

  • Oversee employee experiences from conception through post-event, managing on-site preparations, production, and event breakdown, ensuring consistent, high-level service throughout all phases Troubleshoot and handle any issues that arise on the event day Ensure enterprise-wide needs for due diligence, risk assessment and continuing vendor monitoring are being accomplished.

  • Oversee the movement, material handling, distribution and storage of materials, transportation, and activity planning workers in the organization

  • Event Planning skills Document and Email Writing skills Ability to conduct engagement events / game based activities

DESIRED SKILLS/KNOWLEDGE:

  • People Management skills.

  • Data management skills.

  • Creative tools like Adobe suite is an added advantage.

ELIGIBILITY CRITERIA:

  • Proven Experience as an Events Manager role with 6+ years of experience with ability to manage multiple events simultaneously 

  • Minimum 3 years of experience in IT & ITeS industry.

WORK TIMINGS: Mostly flexible as per event needs and timelines keeping any expectation of attending meeting as per scheduled timing. General timing – 2pm to 11pm(IST)
